You get the Diploma’s – We’ll take care of the rest

2011 Commencements
This year we are contracted with ten Colleges, Universities and Military facilities to deliver equipment for graduations and commencements.  They begin in the first weekend of  May and end in July.  For these events, Event Central will provide everything from tents/stage covers, sound systems, and handicap-accessible facilities to trailer-mounted bleachers, chairs and video platforms.

The first job of the  year
Over  the past 2 days, we have loaded materials for the Tuesday setup of the first event of the season, with take down scheduled for Saturday, starting at 3PM, for completion within 24 hours so we can get ready for the next commitment.  For this particular college, the timing is such that we have  joined forces with Special Events Tent and Party Rental of Bangor, PA.  The job will require 4 trailers and 3 trucks of materials and up to 22 people to perform the full setup and take down within the contracted time period. Skilled labor will be a combination of our best technicians, general labor, and a large crew of temporary labor to complete the job.

The requirement
The graduation calls for us to seat 6500 at two locations on campus -
- Outside on the Quad with white chairs, to include grass covering, bleachers, stage cover, sound,  ADA compliant access to main stage, 2 – 20 x 20 seating areas, and grass cover for the entire route of the processional
- Inside the athletic facility with protective cover for the gym floor, brown chairs and a sound system

The university provides us with a 4 ft School Logod banner  to be secured to the apex of the stage cover during assembly.  The rows of chairs and aisles are made perfectly straight by laying out over 25,000 feet of string lines on both sites.

To protect the wet spring grasses from damage, the grass is covered with several thousand SF of Event Deck turf cover.

Two trailer mounted foldout Speedy Bleacher trailers are brought in for additional seating. Each trailer is 45 Ft long, and folds out to 9 rows for 270 seats

Two 20 x 20 ADA-compliant platforms using Granite Signaturestage system are installed on both sides of the student seating.  They include 4′ ramps and handrails, all installed on a variable sloped area and then finished off with black skirting.

In these pictures, Butch Ruggiero’s crew (blue shirts) finish the turf cover, and start laying out the stage.

College and University rentals make up over 20% of our business mix.  Our first call to provide graduation rentals came 3 years into the business (1991) when we were asked if we could replace the incumbent service who could not provide  the quality and timing the school was looking for.  Little did we know that was the beginning of one of the most important segments of our service offerings.

Back to School Sales go Under Tent

weg8The Central PA retailers are busy competing for the Back-to-School business.  It is hard to tell who gets more visibility,  Governor Rendell trying to sell his budget, or the Back-to-School advertisements.

Wegmans booked a tent for their sale at the 6416 Carlisle Pike, Mechanicsburg store.  They ordered the 30 x 45 Anchor Century Mate tent with removable sidewall on all 4 sides.  This allows them to completely open it on the hot summer days, cover the windward side when rain is in the forecast, or close up completely at night for security.

The tent installers for this event were AJ and Slim.  Upon arrival, they found Wegmans’ warehouseman had pulled several dozen skids of products ranging from snack food to housewares to paper supplies.  It  made a perfect last minute stop for the college student en-route from home to campus.

Larger professional tent companies like EC can deliver hundreds of different styles and sized tents to meet most any purpose:

  • Tent sales
  • Weddings
  • Ground Breaking
  • Grand Openings
  • Chamber of Commerce Mixers
  • Auctions
  • College Events

Gettysburg College Graduation Setup and Other Photography by Doug Phillips

Gettysburg College commencement chair setup in May 2008 was heavy rain for all 6 hours giving the 14 of us the incentive to work through lunch.  You see, if you stop when you are wet, your body stops producing he warmth to keep you comfortable, and warmth is produced by shivering, making it hard to recover.

This year, to our delight we had a wonderfully sunny 74 degree day.  While grabbing lunch we sat up on the top of the steps at Pennsylvania Hall a gent with a floppy hat and camera came up the steps and was snapping shots of the lifeless chairs in their new found rows.  I struck up a conversation only to find he was hanging out while his his Freshman Daughter finished up her extra week session, spending the day shooting anything he fancied.  I told him I would enjoy seeing how they came out, and here is the result.

Doug Phillips, I have since learned, loves to travel and share his experiences with the camera via the Internet.  While I am not sure if he does this for a living, or for the love, I think he is a professional photographer.    Check out more of his work here.

University uses Signature Stage with ADA Compliant Ramps and Guard Rail for Graduation

During their Spring 2008 Commencement, Susquehanna University tried a granite3new layut using  “Signature Performance Staging System” which is manufactured by Granite Industries.   Event Central is a dealer for the sale of Granite products, as well as having a Rental Inventory of over 500 pieces of Stage, signatureRailing, Stairs, Etc. for the hundreds of different configurations for which the stage can be used.  Susquehanna University is one of 5 large university stage jobs we set up each year.

Susquehanna University Stage and Ramp finishing touches

The school was looking to meet certain functional objectives with this new system:

  1. Raise the elevation to 40″ finished height for improved sight lines
  2. Step up the appearance to the audience
  3. Quick attach clips to receive Stage Skirting
  4. 2 sets adjustable steps with railings both sides which can be used at different heights for smaller events
  5. the installation of an ADA ramp with a drop rate of 4″ over 4 ‘  and the appropriate railing with engineered mounts so an individual in a wheelchair can grab both side rails and self propel  up the ramp
  6. Transition angled pieces for the 3″ high stage pieces at the bottom and top of the ramp
  7. Handrail for main deck  due to height
  8. Meet ADA standards

Susquehanna University has been a regular client of Event Central since 1998.  Services provided include rentals for Commencement, Sports Events, Fund Raisers and Benefit drives.  They are located just over an hour from our store. Following the successful rental in 2008, Susquehanna decided to purchase the complete stage in spring 2009 because of its flexible application.  EC provided one technician to train their staff per the Manufacturer’s provided drawings.

Granite Industries supports the sale with detailed drawings of all the component parts.  They can also design/build custom applications where the requirements are set forth by engineered drawings.  This would include applications such as loading unusually heavy machinery or live loads driven by electric motors.
